ESR Development Roadmap  
We are now two thirds of the way through delivering the vision set out in our Road Map for ESR which summarises how the ESR solution will be enhanced with a wide range of new functionality coupled with an improved user experience. The key enhancements being: Improved User Interface and supporting changes to business processes for self-service and learning management users; The introduction of a Reporting Strategy for ESR  - to support the move away from the Discoverer reporting tool; Improved functionality for payroll professionals. New Portal gateway In March 2017 the NHS Team began working with NHS organisations to provision their access to the new Portal gateway into ESR.  That phase of the Road Map successfully completed at the end of September 20017, resulting in all NHS Organisations across England and Wales now having access to the new Portal gateway into ESR. As we move into the next phase of the Road Map, our NHS Account Managers and Functional Advisors will be working with NHS Organisations to help them plan and implement full ESR portal access to all employees in every NHS Organisation. New Reporting Strategy In June this year we launched the new ESR Reporting Strategy, designed to bring a range of improvements to ESR Business Intelligence (BI).  The strategy not only details these improvements and additions to ESR BI but also supports our migration from Oracle Discoverer (following the confirmation that Oracle are withdrawing support for this product from June 2017).  Supporting a reliable and stable solution Central to the strategy is the upgrading of the infrastructure that underpins the ESR BI service, ensuring it remains resilient, reduces any downtime and remains fit for purpose as the primary reporting service for ESR going forward. Supporting the data needs of the NHS With the large amount of data that is currently still available in Discoverer, users are particularly interested data in availability within ESR BI. The reporting strategy includes a comprehensive review of the Discoverer End User Layer (EUL) ensuring that comparable capability will exist in ESR BI to allow local reports to be replicated.  In addition, the strategy will deliver a more comprehensive suite of data items in a way that makes reporting across different subject areas easier; ensuring that the most wide ranging set of reports can be made available within ESR BI.   Supporting the mobile workforce NHS Managers and core users need accessible data beyond the confines of the desktop.  The strategy enables ESR BI over the internet, together with access via mobile devices such as tablets; this will improve the usability of BI and make access to data much quicker and easier. The major changes outlined in the strategy for 2017 include: New and updated subject areas New functions such as alerting, scheduling and sharing with individual users Replication of Discoverer reports into ESR BI Mobile access Access to ESR BI over the internet Ability to combine ESR data with external data Access to real time or near-real time data from ESR BI Comprehensive Audit reporting You can read more about the ESR Reporting functionality within the Your ESR section of our website. My ESR  
MY ESR The Portal landing page is the gateway into ESR for all NHS employees and managers. From the Portal you can access a range of Portlets that display information that is important to you, whether you are a busy nurse or doctor, or manager responsible for a team. You will find more information about each Portlet displayed below by clicking your mouse on each one. Broadcast Message The Broadcast message is displayed at all times on the portal landing page. National and local messages scroll across the screen and act as a useful reminder for things like your local staff survey or the Flu Fighter vaccination programme. At a national level the broadcast message can be used to make you aware of new ESR functionality. Close My Payslip This portlet gives you access to your latest payslip in MyESR. If you still receive a printed copy to your home address or place of work you can switch printed payslips ‘off’ in Self Service and just access your online payslip in MyESR. Once in the portlet you can view previous payslips and download pdf versions if you want save a local copy at home. Close My Annual Leave You can easily see what your entitlement is for the leave year, you see how many days you have booked and how many days you have remaining. There is also a useful Absence Calendar so you can see the various type of absence you have recorded, for example sickness or something specific like study leave or jury service. Close My Compliance This is a particularly helpful portlet for NHS employees because you can see at a glance where you need to undertake education or training to maintain your compliance. Close My Total Reward Statements Every NHS employee receives an annual TRS summarising their employment benefits including local benefits that are offered by their employer and their annual pension statement. This portlet gives you easy access to your TRS without having to leave ESR. Close My Personal Information This portlet enables you to manage personal information such as your name, home address and next of kin details. You access the info directly from the portlet and submit any changes that you make to your manager/supervisor. Close My Enrolments and e-Learning The portlet shows you what e-Learning is scheduled as part of your competency requirements, and to make it even easier, you access directly via the play button. Once successfully completed your record is automatically updated Close ESS Upcoming Tasks The Upcoming Tasks portlet acts as a calendar and reminder about any classroom bookings you may have within the next 7 days. Clicking on the portlet opens up a calendar view which displays key dates from ESR relevant to your record, including Fixed Term contract end dates, absences, appraisal dates among others. Close My Favourites You can organise the most frequent tasks and interactions within YourESR by creating favourites. Development Roadmap Bulletin September 2017 It’s your ESR Welcome to the latest edition of the ESR Development Roadmap Bulletin. We are now two-thirds of the way in to delivering the Development Road Map – our biggest and most challenging strategic plan for ESR from its inception. Since September last year, when we introduced the first key development into ESR - access via the internet; we have introduced a significant number of improvements that have fundamentally changed the way the NHS now interacts and uses ESR, including: Key Improvements since September 2016 Provisioning and Roll Out Over the spring and summer the NHS ESR Team has been working with organisations to provision access to the new ESR Portal. https://my.esr.nhs.uk is the new Portal gateway into ESR. NHS organisations in Wales completed their provisioning by the end of July. NHS Organisations in England will complete their provisioning by the end of September 2017. This means that every NHS organisation in England and Wales will then have access to the Portal. At the end of July 2017 over 100,000 individual users have accessed the ESR Portal, with just under 400,000 visits in total for the month. The NHS Electronic Staff Record Programme is delivered in partnership with IBM © NHS Electronic Staff Record 2017 Development Roadmap Bulletin September 2017 It’s your ESR Having access to the Portal and Portlets is only the beginning of the journey for NHS organisations and employees. The real benefits are realised once managers and employees are interacting with ESR via the Portal, using the full capability within self-service:      Improving data quality because individuals have greater ownership of their personal and professional record; Reducing printing and distribution costs by switching off printed payslips; Real time management of key workforce indicators linked to Compliance, Absence and much more with ‘at a glance’ Business Intelligence dashboards displayed on the landing page when Managers log in; Greater compliance with e-Learning and improving attendance at class room education and training; The ability to communicate to all staff across the organisation using the broadcast message on the landing page – such capability proving to be a great way advise staff of key operational updates or provide reminders – for example, communicating the need and provision for annual flu vaccination. Access to ESR is changing As part of the overall Road Map strategy, Portal access into ESR - via https://my.esr.nhs.uk - is targeted to be the only ESR access route for all users from January 2018. It is therefore essential that organisations are aware of this and begin to roll out, if they haven’t already, Portal access to ESR to their professional users, managers and employees. The NHS ESR Team can provide ESR Leads with guidance and advice about how to get maximum benefit from ESR and the new improved functionality. Further to previous communications, we will be writing to all NHS HRDs and ESR Leads to provide more detail about the plan to move to one access route into ESR over the coming weeks. ESR Release 36 Release 36 is planned for deployment on 29th September 2017 and will bring further changes and enhancements into the ESR solution. A number of new features and development of existing functionality is scheduled for delivery in ESR release 36 and Release 36.2. Below is an extract of some of the new features users will have access to - the full list of enhancements will be made available in the release notice. An Organisation Chart is a visual representation of the relationships between employees in an organisation and is based on the supervisor hierarchy: To allow easy access to the new functionality there will also be a new portlet available from the Manager dashboard which takes users directly to the Organisation Chart. Multiple Supervisors The introduction of this functionality will facilitate the recording of multiple supervisors against a person record where, for example the Manager is part of a job share. Existing functionality in relation to employee initiated requests will be sent to both Managers who will both have access to the assignment record to perform changes. As part of this development a new check has also been introduced to the existing Supervisor Hierarchy Ntf role to include a new section for additional supervisors. Self Service Comments Comments entered against the following 8 key Self Service transactions will be captured and stored to allow them to be reported using ESR Business Intelligence. Absence Hours Supervisor End Employment Assignments End Non-Primary Assignments Location Manage Hire Continuous Development of ESR Portlets As part of our commitment to listen to our users’ suggestions about improving ESR’ functionality and usability, the following changes will be implemented: Team Actions and My ESR Calendar (ESR R36) The ESR Calendar, available to both Employee and Manager items will be updated to include Competency Expiry and Incremental dates. My Annual Leave (ESR R36) More detailed information about carry over, Statutory days and Bank Holidays will be made available in the Annual Leave portlet for Employees, helping them to see how their gross entitlement has been calculated. The breakdown of the entitlement will be held in a dropdown to preserve the existing design. There will also be a new portlet available allowing them to be displayed on a dashboard. Users will need to add this portlet to a dashboard of their choosing from the portlet library. Class Update Portlet (ESR R36.2) Introduction of a new portlet that can be added to the Learning Administration dashboard will allow the update of the learner status on classes up to 7 days in the past. Education & User Readiness As with previous releases the ESR Education Team is preparing HTML captivate lessons, which will be published on ESR Infopoint from 20th September 2017. These lessons will demonstrate the following new functionality:    Self Service Organisation Chart Multiple Supervisors ESR Search In addition the following guides with be made available within the User Manual for ESR Portal and be accessible via the ESR Infopoint:     Portal Familiarisation – User Portal Familiarisation – Administrator Portal Familiarisation – Manager Portal Familiarisation – Core User Key Dates    ESR Release 36 is scheduled for deployment week ending 29th September 2017. o Includes the removal of e-Learning User and Learning User URPs (reference – UN2478). ESR Release 36.2 is scheduled for deployment week ending 27th October 2017. ESR Release 37 is scheduled for deployment at the end of December 2017. This release will require an extended period of downtime, as communicated in the July edition of this bulletin. This includes the ability to access BI Reporting on mobiles and tablets, as well as a full redesign of the reporting model for the Learning Management module of ESR. In detail the following changes for BI reporting are scheduled (subject to successful testing) for inclusion in Release 36:          Ability to report on Annual Leave and Study Leave Entitlement Balances; Future Leave reporting; Replication of the Date-Track Changes and Highlights reports from Discoverer; Full remodel of the Education and Learning Subject area, providing significant benefits for Learning Administration Users; Ability to report on Certifications; Mobile/Tablet Access to ESR BI, allowing managers and directors to access board reports directly; Ability to generate alerts from ESR BI based on threshold values; Disaster Recovery and High Availability extended to include ESR BI; Ability report on External Learners in other subject areas. An Organisation Chart is a visual representation of the relationships between employees in an organisation and is based on the supervisor hierarchy: To allow easy access to the new functionality there will also be a new portlet available from the Manager dashboard which takes users directly to the Organisation Chart. Multiple Supervisors The introduction of this functionality will facilitate the recording of multiple supervisors against a person record where, for example the Manager is part of a job share. Existing functionality in relation to employee initiated requests will be sent to both Managers who will both have access to the assignment record to perform changes. As part of this development a new check has also been introduced to the existing Supervisor Hierarchy Ntf role to include a new section for additional supervisors. Self Service Comments Comments entered against the following 8 key Self Service transactions will be captured and stored to allow them to be reported using ESR Business Intelligence. Absence Hours Supervisor End Employment Assignments End Non-Primary Assignments Location Manage Hire Continuous Development of ESR Portlets As part of our commitment to listen to our users’ suggestions about improving ESR’ functionality and usability, the following changes will be implemented: Team Actions and My ESR Calendar (ESR R36) The ESR Calendar, available to both Employee and Manager items will be updated to include Competency Expiry and Incremental dates. My Annual Leave (ESR R36) More detailed information about carry over, Statutory days and Bank Holidays will be made available in the Annual Leave portlet for Employees, helping them to see how their gross entitlement has been calculated. The breakdown of the entitlement will be held in a dropdown to preserve the existing design. There will also be a new portlet available allowing them to be displayed on a dashboard. Users will need to add this portlet to a dashboard of their choosing from the portlet library. Class Update Portlet (ESR R36.2) Introduction of a new portlet that can be added to the Learning Administration dashboard will allow the update of the learner status on classes up to 7 days in the past. Education & User Readiness As with previous releases the ESR Education Team is preparing HTML captivate lessons, which will be published on ESR Infopoint from 20th September 2017. ESR Release 36.2 is scheduled for deployment week ending 27th October 2017. ESR Release 37 is scheduled for deployment at the end of December 2017. This release will require an extended period of downtime, as communicated in the July edition of this bulletin. This includes the ability to access BI Reporting on mobiles and tablets, as well as a full redesign of the reporting model for the Learning Management module of ESR. In detail the following changes for BI reporting are scheduled (subject to successful testing) for inclusion in Release 36:          Ability to report on Annual Leave and Study Leave Entitlement Balances; Future Leave reporting; Replication of the Date-Track Changes and Highlights reports from Discoverer; Full remodel of the Education and Learning Subject area, providing significant benefits for Learning Administration Users; Ability to report on Certifications; Mobile/Tablet Access to ESR BI, allowing managers and directors to access board reports directly; Ability to generate alerts from ESR BI based on threshold values; Disaster Recovery and High Availability extended to include ESR BI; Ability report on External Learners in other subject areas.
